Information We Collect

When you submit a contact form, rental application, or other inquiry through our website, we collect the personal information you provide, including but not limited to:

• Name and contact information (email, phone number, address)
• Rental application details (employment, income, rental history)

If you start a rental application and enter your email address, your in-progress answers are saved on our systems for up to 14 days so you can continue on another device. Retrieving a saved application requires a code sent to your email. Saved drafts are deleted when you submit or after 14 days, whichever comes first.

How We Use Your Information

We use the information collected to:

• Process rental applications
• Conduct background and credit checks (with your authorization)
• Communicate about your application or tenancy

We do not sell your personal information. We may share information with:

• Background check and credit reporting services (for applications)
• Property management and maintenance personnel
• Legal authorities when required by law

Website Analytics & Cookies

Like most websites, we use Google Analytics to understand how visitors use our site; which pages are viewed, the general area a visit comes from (city level), and the type of device used. This information is collected through cookies, is reported to us only in aggregate, and is not used to identify you personally. We use it solely to improve the website and understand interest in the community.

We also use Microsoft Clarity to see how pages are used, such as how far people scroll and where a page seems confusing, so we can fix it. Anything you type into a form is masked in your browser before it is sent, and the application form is hidden entirely. If a page breaks, an error report (the page, the browser, and the error, never your name or what you typed) goes to a service called Sentry so we can repair it.

You can block or delete cookies in your browser settings at any time; the website will continue to work normally.

Our own visit log

Separately from Google, our own server keeps a log of how people move through this website. When you open a page, it records which page, the time, where you came from, what kind of device you used, and the general area you are browsing from, such as Knoxville, Tennessee. Actions like opening the photo gallery or starting an application are noted too. Because the server records this, it works whether or not your browser runs scripts.

Your browser holds two random numbers in cookies: one for the visit, which expires after 30 minutes of inactivity, and one for the browser, so a return visit reads as a return. Neither is connected to your name unless you send an inquiry or an application, in which case the visit number is saved with it so the office can see which pages helped you decide.

We do not use advertising cookies, we do not follow you on other websites, and we do not sell or share any of this. Only the leasing office and the people who run the website see it. The log is kept for 14 months and then deleted.

Online Payments

Application fees, deposits, and other payments made through links on this site are processed by Intuit (QuickBooks) on their own secure payment pages. Your card or bank details are entered directly with Intuit; we never see or store them.

Rental Applications

The online application collects your contact details, current and previous addresses and landlord contacts, employment and income, vehicle, emergency contact, answers to the rental and background history questions, and your typed signature. We do not collect Social Security numbers online; the office collects that by phone when screening begins.

Submissions are delivered to the leasing office and stored in Cherokee Ridge's lead database (hosted in the United States) so the office can track your application. Access is limited to the leasing office and the site administrator. Application records are kept for up to two years, then deleted; to request earlier deletion, email CherokeeRidge@Comcast.net.

If an application is declined based in whole or in part on a consumer report, you will receive an adverse action notice naming the reporting agency, and you may obtain a free copy of the report and dispute its contents with that agency.

Data Security

We use industry-standard security measures to protect your information. However, no internet transmission is completely secure.
